Freelance, remote, and home workers can be great value, but how exactly are you supposed to run the digital office which comes with them?

1] Workflow Monitoring

One of the biggest issues you will face when you have a team which works in different locations will be making sure that everyone is finished on time. You won’t be able to look over their shoulder while they are working, and this means that they will have the chance to waste time and damage their progress.

Thankfully, there are plenty of software options on the market which are designed to make this easier. By measuring the time someone spends in certain apps, along with collecting finished work, having a proper system in place for this is crucial. You will have to do some research to find options which apply to your field, though this shouldn’t be too hard once you get started.

2] Assignments

Along with being able to keep an eye on people’s work, it can also help a lot to make sure that your team is aware of the work which is expected of them. Emails and memos can be hard to keep track of, and a lot of people find themselves lost in the mountain of work which comes with them when they are going through this process.

Overcoming this isn’t too hard, with work distribution systems being common in modern offices. Having a place where your employees can go to find exactly what they need to do means that there can’t be any excuses when work isn’t finished on time.

3] Collaboration

It’s rare that an office environment will see people working on their own work and nothing else. There will often be times that your team members need to share their work, and this can be hard when they don’t have a physical connection.

Tools like Office 365 have been becoming increasingly popular in recent years. Giving your team the power to work together with an array of different types of document, it makes sense to use something like this when you want your team to be able to work together smoothly. Making edits to a document as a group is always easiest when everyone can see the work which is being done.

4] Communication

Reliable and easy communication is the cornerstone of a productive office, and a lot of business owners struggle to keep their remote teams talking to one another. Email is a key element of this, and options like Google G Suite are perfect for businesses that need access to something inexpensive and industry-leading.

You can find out why people are choosing G Suite for email on a host of different blogs around the web. In short, though, there are few modern companies with Google’s experience in cloud systems, and this makes them a prime choice.

Along with being able to send emails, your team will also benefit from being able to use instant messaging services, phone calls, and video chats to keep up with one another. Like email, these services can also be found with systems like G Suite.

While not everyone will want to use all of this, it helps to have it available when you’re going through this process. Skype has been a go-to for a long time, though a lot of modern companies are finding this option to be old and outdated, barely covering the services they need.

5] Strict Rules

Finally, as the last area to think about, it’s time to consider the rules you make your team members follow. Having strict rules in place can feel wrong when people are working from home, though it will already be very easy for them to take advantage of their position.

It’s crucial that they have set schedules, deadlines, and that you’re keeping up with them to make sure that they’re following the rules. Without this, people will be able to do whatever they want, and it will be hard to make sure that work is being done on time.

With all of this in mind, you should be feeling ready to get started on the work you put into building a digital office. A lot of people struggle with this work, finding it hard to know how to manage this sort of environment.

As time goes on, though, your experience will grow, and you will develop an understanding of what needs to be done.
